Resubmittals

The Building Division accepts electronic resubmittals for pending permits (i.e., permits that have not yet been issued).

  • Customer logs into the online permit portal, clicks on the "My Records" header, and goes to the applicable record(s):

  • If customer does not see the permit under the My Records header (perhaps because it was submitted before the City accepted online applications, or because customer was added to the project team after the record was originally submitted), please contact the Permit Team with all permit/account details in order to be retroactively associated to the record. Please include all relevant documentation of association with that record.
  • Once on the individual record, customer clicks on Record Info, and then Attachments:

  • On the Attachments sub-page, customer uploads PDF(s) of required submittal items, such as: revised plans, plan check comment-response letter, any other revised documents (arborist report, e.g.); all items should be categorized and described as accurately as possible. All documents shall follow the required file specifications. 
  • Permit staff will review submitted items and either: 
    • If complete: Route for staff review and (if applicable) notify the customer to transmit plans to outside/3rd-party plan checker 
    • If incomplete: Let the customer know what is missing, in which case customer resubmits under same process as before

    File specifications

    Documents uploaded to the the online permit portal shall follow the following specifications. Adherence to these standards is necessary for electronic document review (EDR) functionality and standard security practices. Submittals will be deemed incomplete if files do not meet the listed specifications, and review will not start until documents are correctly resubmitted.

    • File type: PDF (not PDF Portfolio)
    • Size: 1 GB or less
    • Filename: No more than 60 characters long; no unusual characters ("!", "#", "%", etc.); no periods (".") except for the filename extension (".pdf")
    • Plan sets: 
      • Created directly from a CAD program, as a vector-based file (i.e., not a scan of a printout or hand-drawn sheet, although this may be waived on a case-by-case basis for owner-builder projects)
      • Landscape orientation
      • Always comprehensive (i.e., on a resubmittal, provide the full plan set again, not just the modified sheets) 
      • Bookmarked by page number (e.g., "A1.1"), with the bookmark (also known as the "page reference") for any sheet remaining identical from submittal to submittal
      • Pages may be deleted or added as needed based on City direction, but page numbers shall not changed or be reused for different content (i.e., if you need to add a sheet between "A2.2" and "A2.3", create a new "A2.2.1" sheet; do not reuse an existing page's number or renumber other sheets, as that would limit EDR sheet tracking/comparison features)
